Working Student - Project Assistant for World's Fairs (m/f/d)
Projects for world’s fairs (or “Expo” for short) depend on many details that must all come together behind the scenes—deadlines, travel arrangements, forms, and inquiries. To ensure our project management team can focus on the big picture, we’re looking for someone to reliably handle these behind-the-scenes tasks.
facts and fiction develops exhibitions, museums, expo pavilions, and interactive experiences at the intersection of space, communication, and culture both nationally and internationally. Sometimes highly complex, sometimes completely crazy but always with high standards, a strong vision, and a large number of people who want to create something special together.
We are currently looking for a working student to serve as a project assistant for our Expo projects, working 15–20 hours per week, starting immediately.
Your responsibilities include, for example:
Schedule Coordination
Processing emails and inquiries
File management
Travel Planning and Booking
Processing Forms
Coordination and Communication with External Service Providers and Partners
Preparing for and Following Up on Meetings, Including Meeting Minutes
Maintaining Project Data in Tools Such as Notion or Smartsheet
Assisting with the Compilation of Documents and Presentations
Research on Specific Project Topics
Preparing Invoices and Filing
What you bring with you:
A structured, meticulous approach to work, even when handling multiple tasks simultaneously
The ability to think independently and the motivation to support a large team with strong administrative capabilities
Proficiency with MS Office (required)
Fluency in German and English
Knowledge of Serbian is a plus, but not required
Experience with project management tools such as Notion or Smartsheet is helpful, but not required
Currently enrolled student, ideally in a program such as cultural management, event management, communication studies, economics, or a comparable field with an organizational focus
Here's how we work together:
15–20 hours per week, once a week at our office in Cologne, and 2–3 hours remotely on at least three other days this can be done from anywhere.
